Housekeeping — Room Status & Cleaning
Run housekeeping from the room status board: assign and pick up rooms, mark them cleaned and inspected, and keep front desk and housekeeping in step.
Housekeeping is the room status board. Rooms move from dirty through In Progress to COMPLETED and then INSPECTED, and only an inspected room is safe to give a new guest. Housekeepers update rooms from their phone as they work, so the front desk sees the real state of the house rather than asking.

The status chain
The sequence exists so that cleaning and checking are separate acts:
- In Progress — someone is working on the room right now
- COMPLETED — cleaning is done, awaiting a check
- INSPECTED — checked and ready to sell
Only inspected rooms should be assigned
Completed means cleaned; inspected means someone confirmed it. Assigning a merely completed room is how a guest walks into a room with a missed bathroom — the whole value of the two-step chain is that they are different people, or at least different moments.

How to See the State of the House (room status, which rooms are clean, housekeeping board)
The overview of every room and where it is in the chain.
Required permission: Housekeeping read
- Go to Housekeeping in the left sidebar, or open Housekeeping in the staff app
- Review the board — use All Rooms to see everything, or filter to what needs work
- Check the date at the top matches the day you are working
Result: You see every room with its current status, and what still stands between you and a ready house.
How to Clean a Room and Mark It Done (mark room clean, finish cleaning, update room status)

Required permission: Housekeeping write
- Open Housekeeping in the staff app
- Pick up the room, which sets it to In Progress
- Clean the room
- Mark it COMPLETED when you finish
Result: The room shows as cleaned and awaiting inspection, and the front desk can see it without asking.
Note: Set In Progress when you start, not when you finish. It stops two housekeepers being sent to the same room and tells the front desk the room is being worked on.
How to Inspect a Room (inspect room, check room, approve clean room)
Confirm a cleaned room is actually ready to sell.
Required permission: Housekeeping supervisor
- Go to Housekeeping and find rooms showing COMPLETED
- Check the room
- Choose Inspect to mark it INSPECTED
Result: The room is ready to be assigned to an arriving guest.
Note: If the room is not right, send it back rather than inspecting it. An inspected room is a promise to the front desk.
How to Report a Maintenance Problem (broken in room, maintenance request, schedule maintenance)
Raise a problem found while cleaning, so it is fixed rather than remembered.
Required permission: Housekeeping write
- Open the room on the Housekeeping board
- Schedule maintenance against it, describing the problem
- Save
Result: Maintenance is scheduled against the room. A confirmation reads Maintenance scheduled.
Note: A room needing maintenance may need blocking from sale as well. Blocking is separate from reporting — see the next task.
How to Block or Unblock a Room (take room out of service, block room, room unavailable)
Stop a room being sold while it is out of action.
Required permission: Housekeeping supervisor or front desk
- Open the room and block it, giving the reason
- Unblock it once the room is usable again
Result: A blocked room is excluded from availability and cannot be assigned. Unblocking returns it to the pool.
Note: Block as soon as you know, not when the guest is at the desk. A blocked room is one you have chosen not to sell; an unblocked broken room is one you will sell by accident.
How to Assign Housekeeping Work (assign rooms, housekeeping tasks, allocate cleaning)
Distribute the day's rooms across your team.
Required permission: Housekeeping supervisor
- Go to Housekeeping for the date
- Create tasks for the rooms that need attention
- Assign them to housekeepers
Result: Each housekeeper sees their own rooms in the staff app.
Note: Prioritise rooms with arrivals due. The Front Desk arrivals list tells you which rooms are needed first.
Troubleshooting
The front desk cannot assign a room that has been cleaned
Cause: The room is COMPLETED but not yet INSPECTED.
Fix: A supervisor needs to inspect it. Only inspected rooms are offered for assignment.
A room is missing from the housekeeping board
Cause: It may be blocked, or you are filtered to a subset of rooms.
Fix: Switch to All Rooms. Blocked rooms are out of the working list because they are not being sold.
Two housekeepers were sent to the same room
Cause: Neither marked it In Progress when they started.
Fix: Pick the room up at the start of the clean, not the end. In Progress is what claims it.
A guest was given a room that was not ready
Cause: The room was assigned before inspection, or its status was updated ahead of the actual work.
Fix: Enforce the chain — only inspected rooms should be assigned. Statuses updated in advance to clear a board defeat the purpose of having one.
A room needs repair but guests are still being booked into it
Cause: Maintenance was scheduled but the room was never blocked.
Fix: Reporting a problem and blocking the room are separate actions. Block it so it leaves availability.
