Qvi is the assistant built into Qvian. Rather than answering from general knowledge, it queries your actual data through a set of tools — sales, stock, recipes, receivables, the ledger — and answers from what it finds. It only offers tools for modules your business unit has enabled, and only to people whose permissions allow it.

What makes Qvi different from a chatbot
Qvi does not guess. When you ask what last week's sales were, it runs a query against your sales data and reports the result. When you ask why a dish costs what it does, it opens the recipe, follows the ingredients and tells you which one is responsible.
It can also act, not only report — recording kitchen waste, resolving an ingredient match, running a matching pass. Actions are limited to what your permissions allow.

Gated by module and by permission
Qvi only offers tools for modules your business unit has enabled, and only to people whose role permits the underlying action. If a colleague gets an answer you cannot, it is one of those two — see Roles & Permissions.
Common Tasks
How to Ask Qvi a Question (use the assistant, ask Qvi, AI chat)
Qvi is reachable from anywhere in the system.
- Click the Qvi button, or go to the assistant page
- Type your question where it reads Ask Qvi anything...
- Send it — you will see Thinking while it queries your data
- Read the answer and ask follow-up questions in the same conversation
Result: Qvi answers from your actual data, and says which figures it looked at.
Note: Be specific about period and outlet. *How were sales?* is answerable but vague; *how did the restaurant do last week compared with the week before?* gets you something you can act on.
How to Diagnose a Recipe Cost with Qvi (cost doctor, why is this dish expensive, recipe cost wrong)
The cost doctor is the fastest way to find what is driving a dish's cost.
- Open Qvi and name the dish you are asking about
- Ask why its cost is what it is, or what is wrong with it
- Qvi opens the recipe, follows each ingredient and reports which contribute most and which are missing costs or conversions
- Act on what it finds in Kitchen Stock
Result: You know which ingredient is responsible, and whether it is a real cost or a data problem.
Note: This catches the classic failure — a conversion factor out by a thousand — far faster than checking ingredients by hand.
How to Use Qvi as a Storekeeper (kitchen assistant, log waste with Qvi, fix ingredient links)
Qvi can do kitchen housekeeping in conversation rather than screen by screen.
Required permission: Inventory and kitchen permissions for the actions involved
- Open Qvi
- Ask about link health to see which ingredients are unmatched or badly matched
- Work the link inbox with Qvi, confirming or correcting suggestions as it presents them
- Record waste by telling it what was lost
- Ask it to run a matching pass when new products have arrived
Result: Kitchen data is tidied through conversation, with the same effect as doing it on the screens.
Note: Qvi will not take an action your permissions do not allow. If it declines, that is the permission system rather than a limitation of the assistant.
How to Ask Qvi About Your Accounts (explain P&L, accounting question, trial balance analysis)
Qvi reads the ledger and can explain what it finds.
Required permission: Accounting read
- Open Qvi
- Ask about a specific figure — a profit and loss line, an unexpected balance, an account that looks wrong
- Qvi queries the underlying transactions and explains what makes up the number
- Follow up by asking it to look for anomalies in the trial balance
Result: You get the composition of a figure and a view on whether anything looks unusual.
Note: Qvi explains the books; it does not replace your accountant’s judgement, particularly on anything with a tax or compliance consequence.
How to Get Product Help from Qvi (how do I, ask how to use Qvian, help)
Qvi can read this documentation, so it can answer how-to questions as well as data ones.
- Open Qvi
- Ask how to do something — for example how to close a register, or how Green Tax is calculated
- Qvi answers from the documentation and points you at the relevant screen
Result: You get the steps without leaving what you were doing.
How to Send Feedback Through Qvi (report a problem, feature request, feedback)
Tell Qvi what is wrong or missing and it passes it on.
- Open Qvi
- Describe the problem or the request
- Ask it to send that as feedback
Result: Your feedback reaches the Qvian team with the context of what you were doing.
How to Manage Your Conversations (conversation history, new conversation, past chats)
Conversations are kept so you can return to a line of investigation.
- Open Qvi and use the conversation list
- Start a fresh thread with New conversation
- Search past conversations to find an earlier answer
Result: You can pick up where you left off rather than re-establishing context.
Note: Start a New conversation when you change subject. A long thread that has wandered across several topics produces vaguer answers than a focused one.
Check anything consequential
Qvi reports from your data, but your data can be wrong — an unreconciled day, an unlinked ingredient, a mis-keyed conversion. For anything you will act on financially, follow the figure to its source screen and confirm it. Qvi will tell you which screen that is if you ask.
Troubleshooting
Qvi says it cannot help with something
Cause: The relevant module is not enabled on your business unit, or your role does not carry the permission.
Fix: Check which business unit you are in, then ask an administrator to confirm the module is enabled and your role has the permission. See Roles & Permissions.
Qvi gave a figure that does not match a report
Cause: Usually a different period, a different business unit, or a report that excludes something Qvi included — returns and exchanges are a common example.
Fix: Ask Qvi which period and business unit it used, and what it counted. Then compare against the report’s own filters.
Qvi says sales are lower than I know they were
Cause: Qvi reads the same data as the reports, so an unreconciled day is missing for it too.
Fix: Check Cash & Registers → Daily Reconciliation for days still Pending. Qvi is reporting the data accurately; the data is incomplete.
Can Qvi change my data?
Cause: Some tools take actions rather than only reading.
Fix: Yes, for a limited set — recording kitchen waste, resolving ingredient matches, running a matching pass, channel manager actions. Every action is bounded by your permissions, and it will tell you what it did.
Is my business data used to train AI models?
Cause: A reasonable question about any AI feature.
