Collect Payment — Creditors, Credit Limits & Collections
Work your receivables as a list rather than a report: creditors with balances and ageing, per-customer collection pages, credit limits, and exports.
Collect Payment turns your receivables into a working list. Every customer who owes you money appears with their outstanding balance, their credit limit and their invoices, and each opens into a page you can work from — record a payment, chase, or adjust their limit. When nobody owes anything it reads Every customer is fully settled.

A list to work, not a report to read
An aged receivables report tells you what is outstanding. It does not help you collect it. Collect Payment is the same information arranged as work: who owes what, how to reach them, and what to do next — with a page per customer showing every unpaid invoice.

Common Tasks
How to See Who Owes You Money (creditors, outstanding balances, who owes us, debtors list)
The working list of everyone with an outstanding balance.
Required permission: Sales or accounting read
- Go to Sales → Collect Payment in the left sidebar
- Review each row — Customer, Contact, Credit Limit, Invoices and the outstanding amount
- Filter by Business Unit if you run several
- Open a customer to see their unpaid invoices
Result: You have a prioritised view of what is outstanding and who to contact.
Note: Sort by amount to find the money, but check the oldest balances too — an old small balance is often a dispute nobody resolved rather than a slow payer.
How to Record a Payment Against Invoices (customer paid, receive payment, settle invoice, allocate payment)
Record money received and clear the invoices it covers.
Required permission: Payment create
- Go to Sales → Collect Payment and open the customer
- Select the invoices the payment covers
- Enter the amount, the date and the method
- Record it
Result: The invoices are settled, the customer's outstanding balance reduces, and the receipt is posted to your accounts.
Note: Allocate against specific invoices rather than as a lump sum. Unallocated payments make the next statement reconciliation harder for both sides.
How to Set a Customer's Credit Limit (credit limit, how much credit, limit customer)
Cap how much a customer can owe before further credit sales are blocked.
Required permission: Sales or accounting (manager level)
- Go to Sales → Collect Payment and find the customer
- Choose Set Limit, or Adjust Limit if one already exists
- Enter the maximum they may owe at any time
- Save
Result: The limit is applied. A confirmation reads Credit Limit Set. Credit sales that would push them over are blocked at the till.
Note: A customer with no limit set is effectively unlimited. Setting limits is the only thing that actually stops exposure growing.
How to Remove a Credit Limit (unlimited credit, remove limit, clear credit limit)
Take the cap off a trusted account.
Required permission: Sales or accounting (manager level)
- Go to Sales → Collect Payment and open the customer
- Remove their limit
Result: The limit is removed. A confirmation reads Credit Limit Removed, and credit sales are no longer capped for them.
Note: Removing a limit is not the same as raising it. With no limit there is nothing to breach, so nothing will ever warn you.
How to Export the Receivables List (export creditors, download debtors, receivables CSV)
Take the list out for chasing, or to send to an accountant.
- Go to Sales → Collect Payment
- Apply the filters you want the export to cover
- Export
Result: The filtered list downloads with balances and contact details.
Note: If you see Export Failed, narrow the filters and try again — a very large unfiltered export is the usual cause.
Credit limits only work if sales are linked to the customer
A limit is checked against the customer attached to the sale. A credit sale rung up as a walk-in has no customer to check, so it neither counts toward the limit nor appears here. See Point of Sale.
Troubleshooting
A customer who owes money is not in the list
Cause: Their sale was not linked to their customer record, or you are filtered to a different business unit.
Fix: Check the Business Unit filter first. Then check the sale in Sales → All Sales — an unlinked credit sale has no customer to owe against.
A credit sale was blocked at the till
Cause: The customer has reached their credit limit, or is blacklisted.
Fix: Open them here to see their balance against their limit. Either take payment to bring them under, or use Adjust Limit if the higher exposure is acceptable.
A payment was recorded but the balance did not change
Cause: The payment was not allocated to invoices.
Fix: Open the customer and check the payment is allocated against specific invoices rather than sitting unallocated.
Setting a limit failed
Cause: The value was not accepted, or the customer record is incomplete.
Fix: If you see Could Not Set Limit, check the amount is a valid positive number and that the customer is a proper trading partner record rather than a placeholder created at the till.
Consumer app orders on credit are not showing
Cause: Consumer credit accounts are a related but separate view.
Fix: Guests see their own position under Profile → My Credit in the consumer app. Payments they submit by uploading a transfer receipt go to Payment Approvals for review first.
