Street Vendor POS — the Phone-Only Register

The lean phone register for street vendors and market traders: sell, track stock, record wastage, and see the day’s reports without a till.

The street vendor POS is a phone-only register for traders with no counter and no till. It does four things: sell, keep stock straight, record wastage, and show the day's takings. Bills can be shared or copied to send to a customer, and products can be created on the spot or adopted from the shared catalogue.

Built for one person with a phone

A market trader, a cart, a stall. There is no desktop, no receipt printer and no back office — so the vendor module strips the POS to what one person can operate one-handed while serving. The four screens are Sell, Stock, Wastage and Reports.

It is a business unit type, so a vendor operation gets its own books, stock and reporting like any other. See Business Units.

How to Make a Sale (sell, vendor sale, take payment on phone)

The main screen — build a sale and take the money.

Required permission: Street vendor operate

  1. Open Vendor in the staff app
  2. Tap the products being bought and set quantities
  3. Take the payment

Result: The sale is recorded, stock reduces, and the takings appear in the day's reports.

How to Share a Bill With a Customer (send receipt, share bill, copy bill, no printer)

Get a receipt to the customer without a printer.

  1. Complete the sale
  2. Share the bill, or copy it to paste into a message

Result: The customer receives the bill on their phone. Confirmations read Bill shared or Bill copied.

Note: If sharing fails, use copy instead — it puts the bill on the clipboard for any messaging app.

How to Add a Product While Trading (new product, add item, product not in list)

Create a product on the spot rather than losing the sale.

Required permission: Street vendor operate

  1. Open Vendor → Stock
  2. Add a product, giving its name
  3. Set the Base unit name (e.g. Piece)
  4. Enter a cost per unit and a selling price
  5. Save

Result: The product is available to sell immediately.

Note: Set both the cost and the selling price. A product with no cost shows every sale as pure profit and makes the day's margin meaningless.

How to Use a Product From the Shared Catalogue (adopt product, catalogue product, existing product)

Take an existing catalogue product rather than creating a near-duplicate.

  1. Open Vendor → Stock and search for the product
  2. Adopt the Catalogue product when it appears
  3. Set your own selling price

Result: You get the product with its existing details, and your own price.

Note: Adopting beats re-creating. A duplicate product splits your sales history and confuses reporting later.

How to Add Stock (restock, received goods, add inventory)

Record stock you have taken on for the day.

Required permission: Street vendor operate

  1. Open Vendor → Stock
  2. Choose Add stock on the product
  3. Enter the quantity and the cost per unit
  4. Save

Result: Stock increases and the cost is recorded, so margin is calculated against what you actually paid.

How to Correct a Stock Count (stock wrong, correct count, recount)

Fix the system when it disagrees with what you can see.

  1. Open Vendor → Stock and find the product
  2. Choose Correct count
  3. Enter the counted quantity
  4. Save

Result: Stock is set to what you counted and the correction is recorded.

Note: Use wastage rather than a count correction where you know what happened to the stock — correcting it away hides how much you are losing.

How to Record Wastage (spoiled goods, wastage, threw away, unsold stock)

Record stock that spoiled or could not be sold.

Required permission: Street vendor operate

  1. Open Vendor → Wastage
  2. Choose the product and the quantity lost
  3. Record it

Result: Stock reduces and the loss is recorded as wastage rather than disappearing.

Note: For perishable goods this is the number that matters most. Consistent end-of-day wastage on a line means you are buying more of it than you sell.

How to See the Day's Takings (vendor reports, how much did I sell, daily takings)

Check performance without leaving the stall.

  1. Open Vendor → Reports
  2. Review sales, stock position and wastage for the day

Result: You know what you took, what you have left and what you lost.

Cost in, wastage out

The two numbers that make vendor reporting worth anything are the cost you paid when adding stock, and the wastage you record at the end of the day. Skip either and the reports show revenue without telling you whether the day was worth it.

Troubleshooting

The Vendor module is not showing in the staff app

Cause: The business unit is not a street vendor type, or the user lacks the street vendor permission.

Fix: Both are needed. Check the business unit type in Settings → Business Units and the role’s permission in Settings → Roles.

Margin looks impossibly good

Cause: Stock was added without a cost.

Fix: Enter the cost per unit when adding stock. Without it, every sale appears to be pure profit.

Stock keeps drifting from what is on the cart

Cause: Wastage is not being recorded.

Fix: Record wastage at the end of each day. Correcting the count instead hides the loss and makes reordering figures wrong.

The same product exists twice

Cause: It was created by hand rather than adopted from the catalogue.

Fix: Search before adding, and adopt the Catalogue product where one exists. Duplicates split sales history across two records.

Sharing a bill failed

Cause: The device’s share sheet was unavailable or cancelled.

Fix: Copy the bill instead and paste it into any messaging app. Copy failed usually means clipboard permission — try sharing instead.
