Loyalty Programme & Referral QR

Run a customer loyalty programme and a referral scheme: points and rewards, referral QR codes, per-outlet overrides, and how they appear in the consumer app.

Loyalty lets customers earn points on what they spend and redeem them later. Referrals let existing customers bring new ones through a QR code or link, with a reward on both sides. Both live at Restaurant Setup → Loyalty, where you can see every member, their points balance, lifetime earnings and last activity.

What the members list shows

Each row is a loyalty member, with the facts that tell you whether the programme is working:

  • Customer and their contact details — a member with No phone number is hard to reach with an offer
  • Balance — points available to spend now, which is an outstanding obligation to that customer
  • Lifetime Earned — total points ever earned, the better measure of how valuable a customer is
  • Last Earned and Last Activity — when you last saw them

Active Today gives you the day's engagement at a glance.

Common Tasks

How to Review Loyalty Members (loyalty report, who are my best customers, points balances)

See who is in the programme and how engaged they are.

  1. Go to Restaurant Setup → Loyalty in the left sidebar
  2. Review the member list — Customer, Balance, Lifetime Earned, Last Activity
  3. Sort by Lifetime Earned to find your most valuable customers
  4. Sort by Last Activity to find members who have stopped coming
  5. Use the search box to find a specific member

Result: You can see who is worth keeping and who has lapsed, with the points position for each.

Note: Sort by Lifetime Earned, not Balance. A high balance means they have not redeemed; high lifetime earnings means they actually spend.

How to Look Up a Customer's Points (check points, customer balance, points history)

Answer a customer asking how many points they have.

  1. Go to Restaurant Setup → Loyalty
  2. Search for the customer by name or phone number
  3. Read their Balance for what they can spend now
  4. Open the member to see their transaction history

Result: You can tell the customer their balance and explain how it was earned.

Note: If a customer insists they earned points that are not showing, the usual cause is that the sale was not linked to their customer record at the till.

How to Set Up a Referral QR Code (referral program, refer a friend, referral QR, invite code)

Give existing customers something to share, with a reward on both sides.

Required permission: Restaurant or marketing settings (manager level)

  1. Go to Restaurant Setup → Loyalty and open the referral section
  2. Configure the reward for the referrer and for the new customer
  3. Generate the referral QR code
  4. Export it — an SVG exports at any size without going blurry, which matters for print
  5. Put it where customers will see it: table talkers, receipts, the shopfront

Result: Scanning the code takes a new customer into the consumer app with the referral attached, so both parties receive their reward when it completes.

Note: Export as SVG for anything printed. A screenshot of a QR code enlarged for a poster is a common and avoidable reason for codes that will not scan.

How to Set a Different Referral Reward for One Outlet (referral override, per outlet reward, different reward)

Vary the reward where one outlet's economics differ from the rest.

Required permission: Restaurant or marketing settings (manager level)

  1. Go to Restaurant Setup → Loyalty in the business unit you want to change
  2. Open the referral configuration
  3. Set the override for this outlet
  4. Save

Result: That outlet uses its own reward while the others keep the default.

Note: Loyalty is configured per business unit, so check which unit you are in before changing anything.

How customers earn and redeem

Points are earned when a sale is linked to a customer record — at the till by looking the customer up, or automatically when they order through the consumer app while signed in. Redemption happens at the point of sale against their available Balance.

An unlinked sale earns nothing

If the cashier does not attach the customer to the sale, no points are earned and there is no record connecting that visit to the member. This is the single biggest cause of loyalty programmes appearing not to work — the mechanism is fine, the customer was simply never identified.

Points are a liability

Outstanding points are a promise of future value. A large and growing total Balance across your members means a growing obligation — worth watching alongside the marketing benefit, particularly if points do not expire.

Troubleshooting

A customer says they did not receive points

Cause: The sale was not linked to their customer record.

Fix: Check the sale in Sales → All Sales and see whether a customer is attached. If not, the points were never earned. Train staff to look the customer up before completing the sale.

The referral QR code will not scan

Cause: Usually a low-resolution image enlarged for print.

Fix: Re-export the code as SVG and use that for anything printed. SVG scales to any size without losing definition.

A member appears twice

Cause: They were added as two customer records — typically once by phone number and once by name.

Fix: Merge the duplicate customer records in Trading Partners. Points follow the customer record, so duplicates split a customer’s balance across two accounts.

The list says "No loyalty members yet"

Cause: No customers have earned points in this business unit yet, or loyalty is not enabled on it.

Fix: Confirm you are in the right business unit, and check that sales are being linked to customers at the till. Loyalty is configured per unit.

A referral reward was not paid out

Cause: The referred customer had not completed the action the reward depends on.

Fix: Check the referral’s status. Rewards are issued when the referral completes, not when the code is scanned — a scan alone does not qualify.
