Cashier Quick Start Guide

Welcome! This guide will help you start processing sales and serving customers with Qvian Suite.

Before You Begin

Make sure you have:

  • Login credentials from your manager
  • Basic training on your store's policies
  • Access to a register or POS station

Your Daily Workflow

1. Starting Your Shift

Open Your Register Session

  1. Log into Qvian Suite
  2. Go to Point of Sale from the main menu
  3. Click "Open Register"
  4. Count your starting cash and enter the amounts
  5. Click "Start Session" - you're ready to serve customers!

2. Processing a Sale

Basic Transaction Steps

  1. Add Items: Scan barcodes or search for products
  2. Check Total: Review items and total amount
  3. Select Payment: Choose cash, card, or other payment method
  4. Complete Sale: Process payment and provide receipt

Using the AI Assistant

  • Product Recognition: Hold up items to the camera for instant identification
  • Smart Suggestions: Get recommendations for related products
  • Quick Search: Type partial product names for instant results

3. Common Tasks

Adding Products to Sale

  • Scan Barcode: Use handheld or built-in scanner
  • Search by Name: Type product name in search box
  • Browse Categories: Click category buttons to browse
  • Manual Entry: Enter product code directly

Handling Different Payment Types

  • Cash: Enter amount received, system calculates change
  • Credit/Debit: Follow card reader prompts
  • Gift Cards: Scan or enter gift card number
  • Split Payment: Use multiple payment methods for one sale

Customer Management

  • New Customer: Click "Add Customer" during checkout
  • Existing Customer: Search by name, phone, or email
  • Loyalty Points: Points automatically applied when customer is selected
  • Customer History: View previous purchases and preferences

Handling Special Situations

Returns and Exchanges

Processing a Return

  1. Go to Returns section
  2. Scan original receipt or search by transaction
  3. Select items to return
  4. Choose refund method (original payment, store credit, etc.)
  5. Complete the return process

Exchange Items

  1. Process the return first
  2. Add new items to a new sale
  3. Apply any price differences
  4. Complete the new transaction

Problem Solving

Item Won't Scan

  1. Try scanning from different angles
  2. Clean the barcode if dirty
  3. Type the product code manually
  4. Use the camera recognition feature
  5. Ask manager for assistance if needed

Payment Issues

  1. Card Declined: Try again or ask for different payment method
  2. Cash Register Short: Count drawer again, call manager if still short
  3. System Slow: Wait for system to respond, don't click multiple times
  4. Receipt Won't Print: Check paper, call for technical support

Customer Complaints

  1. Listen to the customer's concern
