Housekeeper Guide
Guide for housekeeping staff and supervisors — picking up rooms, the clean-to-inspected chain, reporting maintenance, blocking rooms, and working from the staff app.
As a housekeeper you work from the room status board on your phone. Pick a room up when you start it, mark it completed when you finish, and a supervisor inspects it before it can be given to a guest. Keeping the board honest is what lets the front desk stop asking whether a room is ready.

The chain, and why it has two steps
- In Progress — you are working on the room now
- COMPLETED — cleaning is done, awaiting a check
- INSPECTED — checked, and only now can it be given to a guest
Completed is not ready
Completed means cleaned. Inspected means someone confirmed it. The two-step chain exists so a missed bathroom is caught by a second pair of eyes rather than by the guest — which is why the front desk can only assign inspected rooms.

How to See Your Rooms for the Day (my rooms, housekeeping list, what do I clean)
Start here each shift.
Required permission: Housekeeping read
- Open Housekeeping in the staff app
- Check the date at the top matches today
- Review the rooms assigned to you, or the board if your team works from a shared list
Result: You can see which rooms need attention and where each one is in the chain.
How to Clean a Room and Mark It Done (mark room clean, finish a room, update room status)
The core loop, done from the corridor rather than back at an office.
Required permission: Housekeeping write
- Open Housekeeping in the staff app and find the room
- Pick it up — this sets it In Progress
- Clean the room
- Mark it COMPLETED when you finish
Result: The room shows as cleaned and awaiting inspection, visible to the front desk without anyone having to ask.
Note: Set In Progress when you start, not when you finish. It stops a second housekeeper being sent to the same room, and tells reception the room is being worked on.
How to Report Something Broken (maintenance, broken in room, report a problem)
Raise it while you are standing in the room, so it gets fixed rather than remembered.
Required permission: Housekeeping write
- Open the room on the Housekeeping board
- Schedule maintenance against it, describing what is wrong
- Save
Result: Maintenance is scheduled against the room and the confirmation reads Maintenance scheduled.
Note: Reporting a problem does not stop the room being sold. If the room genuinely cannot be used, it also needs blocking — tell your supervisor, or block it if you have the rights.
How to Inspect a Room (inspect, check a room, approve a clean room)
For supervisors — the second pair of eyes before a room is sold.
Required permission: Housekeeping supervisor
- Open Housekeeping and filter to rooms showing COMPLETED
- Check the room
- Choose Inspect to mark it INSPECTED
Result: The room becomes assignable to an arriving guest.
Note: If it is not right, send it back rather than inspecting it. An inspected room is a promise to reception, and to the guest walking into it.
How to Block a Room (room out of service, block room, unavailable room)
Stop a room being sold while it cannot be used.
Required permission: Housekeeping supervisor or front desk
- Open the room on the Housekeeping board
- Block it, giving the reason
- Unblock it once it is usable again
Result: The room leaves availability and cannot be assigned until unblocked.
Note: Block as soon as you know. A room that is broken but not blocked is one that will be sold by accident.
Working with the front desk
Reception is looking at the same board you are. If a guest is waiting for a room, the useful thing is not a phone call — it is picking that room up so it shows In Progress, and marking it the moment it is done.
Rooms with arrivals due should be prioritised. Your supervisor can see the day's arrivals from Front Desk, and early arrivals sometimes need a room overnight rather than by the usual check-in time.
Common questions
A room is missing from my board
Cause: It may be blocked, or you are filtered to a subset.
Fix: Switch to All Rooms. Blocked rooms are out of the working list because they are not being sold.
Reception says a room I cleaned is not ready
Cause: It is COMPLETED but not yet INSPECTED.
Fix: A supervisor needs to inspect it. Only inspected rooms can be assigned to a guest.
Someone else started the room I was assigned
Cause: Neither of you marked it In Progress.
Fix: Pick a room up at the start of the clean. In Progress is what claims it and stops the double-up.
I marked a room done by mistake
Cause: Statuses can be corrected.
Fix: Set it back on the board, or tell your supervisor before it is inspected. The important thing is that the board matches the room.
Do I need a login separate from the main system?
Cause: The staff app keeps its own session.
Fix: Same account, but you sign in on the phone separately. See Staff App for installing it to your home screen.
